ROLE DESCRIPTION AND PURPOSE
This role would assist AM MY/NM colleagues on meetings arrangements, travel arrangements, office administrative &, etc. including supporting MY senior management on board meetings,
KEY RESPONSIBILITIES
1. Office Administration (30%)
- Office administration i.e., request & register visitor pass, stationery requisition, maintenance of fax & copy machines, business cards printing from suppliers, courier service arrangement, coordinate with IT helpdesk on IT issues &, etc.;
- Coordinate with the Company’s approved travel agency on staff travel arrangements by the Company’s travel policy;
- Prepares AM MY/NM staff OPE claims submission & ensures the claims are by the Company travel & entertainment policy;
- Assist to schedule & securing meetings for respective departments (e.g. meetings arrangements for Board of Directors, Compliance & Risk Management Committees, Sales& Marketing, Investment Committees, etc.);
2. CEO & Senior Management Support (40%)
- Assist to coordinate Board meetings, Investment Committee meetings, or any other management and team meetings.
- Timely preparation of minutes of meetings and ensure distribution of meeting minutes and follow through on outstanding matters.
- Assist to prepare board packs, management presentations, etc., and where needed, coordinating with various departments to provide their segment in time for the meetings. Need to ensure the accuracy of all information.
- Ensure board packs are distributed 2 weeks before the meeting.
- Assist to ensure accurate recording of data etc. for reporting and management or board meetings
3. Business Support (30%)
- Assist sales team in coordinating and preparation of sales materials/presentations.
KEY INTERNAL / EXTERNAL RELATIONSHIPS
ESSENTIAL QUALIFICATIONS & EXPERIENCE
- University graduate preferably in business studies.
- A good understanding of investment and the financial industry or have an interest in investment and the financial industry.
- Strong analytical skills.
- Strong written skills in English and Bahasa Malaysia. Mandarin will be a plus.
- Fluent in the use of Microsoft Office, especially in PowerPoint and Excel.
