General Duties

School of Engineering and Technology (SET) Assistant Manager - Laboratories (AM-L) leads the planning, development, acquisition and maintenance of laboratory facilities and equipment as well as delivery of effective laboratory-associated services supporting teaching, research, and commercialization activities of the School. Under the guidance of the School Manager and in collaboration with Heads of Departments/Research Centres/Group, AM-L oversees ongoing operations of the laboratories as well as organisational and work practice changes required to support the School strategic directions. The AM-L must have leadership experience, practical skills, and good technical knowledge in one or more science and/or engineering areas relevant to the School specialisation. AM-L supports SET teaching and research activities by providing among other things the management and technical advice and assistance to staff and students. AM-L must keep abreast of developments in education, research, and administration relevant to laboratory-related activities within Sunway University and School. Particular attention of AM-L is required to ensure that all staff and students comply with Occupational Health & Safety (OH&S) rules and regulations relevant to the laboratories.

Key Accountabilities

  • Acting as the first point of contact and providing reception and administrative support for the laboratory facilities.
  • Organising, managing, and directly contributing to the day to day operations of engineering and technology laboratory areas of the academic Departments and Research Centres/Group.
  • Preparing and regularly updating the Laboratory Standard Operation Procedures (SOPs) and manuals.
  • Ensuring that all laboratory activities strictly adhere to the applicable Occupational Health & Safety rules and regulations as well as comply with the University safety policies and audit requirements. 
  • Leading scheduled laboratory accreditations as well as managing and supporting laboratory equipment calibration, maintenance, and servicing. 
  • Preparing, regularly updating and maintaining the inventory and usage records of the laboratory assets. 
  • Participating in the procurement process (Metabuyer, Esker, etc.) for the laboratory equipment and consumables, and working closely with the relevant offices of the University and vendors on purchasing, delivery, payment, etc., matters.
  • Assisting Heads in preparing annual budgets of their Departments/Research Centres/Group (laboratory associated sections) and budget expenditure monitoring where appropriate.
  • Coordinating the planning, development, and commissioning of new laboratories. 
  • Providing professional and technical laboratory support and advice to staff and students effectively.
  • Highlighting, documenting, and troubleshooting identified and potential problems, recommending and implementing solutions to ensure continuity of service delivery and for process improvement while applying change control and risk management procedures where required. 
  • Working closely with relevant University units (e.g., Facilities Services, Health & Safety Office, Security Office, IT Services, Research Office, etc.) on maintenance, safety and security, and other laboratory-relevant matters as well as representing the School in relevant committees of the University and Sunway Education Group when assigned.  
  • Providing support to activities and events organised by the School and University, e.g., audits, laboratory visits/tours/demos, video-shooting, Open Days, marketing activities, and so on.
  • Effectively managing and supervising allocated technical laboratory staff. 
  • Maintaining up-to-date professional, technical, OH&S, etc., knowledge, skills and qualifications by attending relevant training sessions, professional courses, and workshops.

Key Selection Criteria

  • Leadership experience, excellent practical skills and aptitude, as well as good knowledge of the engineering and/or technology areas relevant to SET.
  • A sound knowledge of the requirements of engineering and technology education and research laboratories and workshops, including demonstrated practical experience and ability in the development of laboratory facilities, specifying, commissioning, operating and maintaining laboratories and equipment.
  • Problem-solving skills relevant to specification, design, fabrication and application of non-standard simple-to- medium complexity engineering, technology, and science systems and devices for student projects and academic research.
  • Well-developed verbal and written English communication skills and ability to communicate and build a relationship with staff and students. 
  • Demonstrated initiative, flexibility, resourcefulness, and willingness to take on new challenges, work independently with minimal supervision, organise workload and exercise time management to ensure timely completion of tasks. 
  • Proven knowledge of current OH&S legislation, regulations, and practices as well as relevant experience in their implementation.

Qualifications Mandatory        

  • Bachelor Degree in Engineering or Bachelor of Sciences (Electrical and Electronic Engineering, Computer Engineering, Mechanical Engineering, Mechatronics, Chemical Engineering, Materials) or closely associated areas.
  • Some experience or exposure in the technical support and/or management field.

Preferred           

  • Professional registration and/or trade qualification(s) in the relevant engineering, technology or science areas would be of added advantage.
  • Knowledge and experience of working in the higher education environment would be of benefit.
