Responsible for providing effective and efficient administrative support to the businesses/functions under the care of the Chief Financial Officer (CFO) and Corporate Affairs Director.

Responsibilities: 

  • Schedule and coordinate meetings, itineraries, travel and accommodation arrangements for CFO, Corporate Affairs Director, department(s), visitors and guests.
  • Manage CFO and Corporate Affairs Director business calendar and schedule departmental major event and meeting
  • Coordinate and facilitate events and functions including liaising with internal and external stakeholders
  • Provide support in marketing activation events e.g., Chinese New Year Launch, National Conference, product launches etc.
  • Attend to calls & general enquiries and take & disseminate messages
  • Handle all incoming and outgoing documents
  • Ensure all documents & records are complete & up to date and maintain an effective filing system
  • Prepare and monitor Corporate Affairs & Finance administrative budgets and expenses. Provide update to department for once a month.
  • Manage all office administration activities including purchases, ordering, processing invoices, generating purchase orders and expenses
  • Monitor and track department(s) stationary stock level.
  • Verified employee’s business expenses claim before route to authorizer for approval.
  • Manage and submit Director’s business expenses claim, medical claim and free beer requisition.   
  • Coordinate with receptionist to manage driver working schedule.
  • As a safety ambassador to keep track department(s) participation rate for unsafe behaviour submission.
  • Manage and arrange payment for marine insurance coverage and liaising with insurance broker on insurance claim matters

Requirements: 

  • At least 5 years’ experience in administrative or secretarial duties 
  • Minimum Diploma in Business Studies/Administration/Management, Secretarial or equivalent
  • Strong proficiency in MS Word, Excel, PowerPoint and Outlook
  • Good command of written and spoken English & Bahasa Malaysia
  • Matured, independent and results oriented
  • Strong integrity and able to meet tight deadlines
  • Possess strong organisation skill, is meticulous with a high level of confidentiality
  • Pleasant personality with good interpersonal and communication skills
